How Recruiters Can Record Changes in a Candidate's Role Interests

A candidate's job search can change direction while recruitment is active. They may narrow the type of role they want, become open to a different level of responsibility or decide that a category previously discussed is no longer relevant. If the update stays with one consultant, colleagues can continue approaching the candidate about work that no longer fits.

A role-interest change record gives the recruitment team one current view while preserving the context behind earlier activity.

Record the earlier working interests

Identify the role types or priorities the team was previously using when searching or discussing vacancies. Keep them connected to the period when they were current rather than rewriting history.

This helps explain why earlier approaches may differ from the candidate's present direction.

Capture the candidate's revised position

Record what the candidate has actually changed and distinguish firm preferences from areas they are merely willing to explore. Avoid broadening or narrowing the search beyond the candidate's stated instruction.

Where the candidate remains uncertain, preserve that uncertainty rather than forcing a fixed category.

Separate role interest from suitability

A candidate being interested in a type of role does not establish that they meet a particular vacancy's requirements. Keep preference information separate from the recruiter's vacancy-specific assessment and the hiring team's decisions.

This prevents search criteria from becoming an unsupported suitability judgement.

Review active searches and planned approaches

Identify current sourcing alerts, consultant actions or vacancy discussions that rely on the earlier interests. Stop or adjust obsolete activity through the team's normal process.

Do not remove completed historical activity simply because the candidate's direction has changed.

Check existing submissions separately

If the candidate is already active in a vacancy that falls outside the new preference, establish their instruction for that specific process rather than assuming the general change automatically withdraws them.

Handle any submission withdrawal as its own supported recruitment action.

Update consultant handover information

Make the current role interests visible to colleagues who may search for or contact the candidate. Retire superseded working notes from active use according to the organisation's normal controls.

A concise current view reduces repeated questioning and irrelevant approaches.

Reconfirm before a materially different opportunity

Where a proposed vacancy sits near the boundary of the candidate's stated interests, check the current position before representing it as a fit. Record any further change through the same process.

A controlled role-interest record keeps recruitment activity aligned with what the candidate currently wants without pretending that preferences, suitability and vacancy decisions are the same thing.
