How Recruiters Can Review Candidate Representation Status for a Vacancy

A recruitment team can discover late in a vacancy process that a candidate has already been connected to the same role through another route or that its own records contain more than one planned submission. Acting before the position is understood can create duplicate communication and conflicting internal records.

A representation-status review is a factual checkpoint before further vacancy activity. It establishes what the recruitment team can support from its records and what still needs clarification.

Identify the candidate and exact vacancy

Start with the candidate and the specific hiring requirement involved. Similar job titles at the same organisation should not automatically be treated as the same vacancy.

Use the current vacancy reference or other supported identifier available to the recruitment team.

Review the firm's existing recruitment record

Check whether the candidate has already been submitted, discussed or queued for submission against that vacancy within the organisation's own system. Look for duplicate candidate or vacancy records that could split the history.

Resolve internal data ambiguity before creating another submission action.

Separate confirmed facts from candidate or client clarification

If the records do not establish the current position, identify the question that needs clarification through the appropriate recruitment channel. Do not turn an assumption about another route into a recorded fact.

The review should make uncertainty visible until supported information is available.

Pause duplicate submission activity

Where there is a credible unresolved conflict, hold the specific submission action while it is checked. Other legitimate candidate or vacancy work does not necessarily need to stop.

This keeps the exception narrow and prevents unnecessary disruption.

Record the supported outcome

Once the status is clear, update the candidate-to-vacancy record with the operational outcome and its source. Keep the note factual and avoid unsupported conclusions about third parties.

The record should tell colleagues whether the planned submission can proceed or has been closed.

Close competing internal actions

If duplicate tasks, consultant reminders or draft submissions exist, retire the obsolete ones through the team's normal process. Make one current owner responsible for any remaining action.

This prevents the same representation question from resurfacing immediately.

Verify before the submission is released

Before candidate details move to the next authorised stage, confirm that the internal representation status is current and that no unresolved duplicate workflow remains. Preserve any necessary history according to the organisation's controls.

A representation-status review gives recruiters a controlled way to handle ambiguity before it becomes duplicate vacancy activity. It keeps the focus on supported records and clear next ownership rather than assumptions.
